APEX is entirely staffed by volunteers. Whatever you are interested in doing, we certainly need your help!

The list below includes training opportunities, volunteer opportunities, and ways you can pitch in based on the time you have available.

New Member Orientation Team

APEX is committed to providing lots of quality orientations in 2018. With that goal we created the New Member Orientation Team! An hour of our time creates successful new members, and helps each of us feel more responsible for our club.   Each month we will have a New Member Orientation Team Training following our BBQ/Open House.  Because of April’s weekend intensive, the April New Member Orientation Team Training will fall on Friday, April 20th at 8:00pm.


Door Training

Don’t forget…APEX is committed to 600 Events in 2018. That is 50 events EACH MONTH! To accomplish this, we need Door Volunteers! There is also a Door Volunteer Training on Wednesday, April 4th. Door Volunteers are the front lines of our club, and you can be part of the “Mission Control” at APEX! Door Volunteers have at least one additional training opportunity each month, so that they can sharpen their skills and be the best versions of themselves!

DM Training

APEX is on track to do 600 events in 2018, and that means a LOT of play! To accomplish this, we need DM Volunteers! There is also a DM Volunteer Training on Tuesday, March 27th. DM Volunteers are a vital part of our club!  DMs also have at least one additional training each month in various skills so that we are constantly putting tools in the tool box!

Minimum Time Commitment

(Single day commitments) 

Pitch in when you come to the club. You can always clean up, grab a broom, take out the trash, bring ice, clean up the kitchen, straighten up the bathrooms while you’re in there, or just look for things needing done and do them. 🙂  Ask a volunteer to show you where things are!

Keep your eye on the APEX Group on Fetlife.com. There are often calls for spare hands to do big setups and other projects at the club!

Glass Cleaning: All the windows/doors at the front of the space need to be cleaned, and all of the mirrors need to be polished.

Trash Cans: Need to be taken outside once a month and cleaned inside and out.

Ash tray: Needs to be emptied once each month and new sand put in. The new sand is in the storage closet!

Outside: Both the parking lot in front of our building and the alley behind our space needs to be swept and picked up.

Tablecloths: Need to be washed once a week.

Other laundry: Pillows and throws need to be washed once a month.

Supplies: Someone to keep track of supplies including things like coffee and paper products so we never run out!

Dust Busting Crew:  Usually one Saturday each month.  We clean, do projects, restock. The Dust Busting Crew is from 10am-2pm. While it is usually on the first Saturday of the month, keep your eye on the calendar because changes sometimes need to happen.

Party DM Shifts: DM Shifts are from 7:30pm-10:30pm 10pm-12:30am, and 12:00am-2:00am. While you need to attend training, it is an important way to participate! There is a DM Volunteer Training on Tuesday, March 27th.

Door Shifts: Every APEX event needs someone to do the door and handle orientations. Door shifts on weekdays are typically 6:15pm-8:00pm. Parties are from 7:30pm-11pm. Working the door is a great way to meet people! There is a Door Volunteer Training on Wednesday, April 4th

Moderate Commitment (3-5 Hours each week)

Staffing Coordinator  (click to see details) 

The Staffing Coordinator is quality control for our Programming Offerings. Assuring that each event is staffed appropriately, and that nothing is missed.

Reporting to the Internal Operations Chair, The Staffing Coordinator is a successful APEX member who is willing to work within a team of people that are all working towards the successful execution of APEX events. The Staffing Coordinator will have a working knowledge of APEX programs, volunteers, and positions, in order to assure that the staffing needs of each program is met.

      • Specific duties include:
  • Assuring each coordinator (DM, Door, New Member Orientation team etc) have adequately staffed their areas.
  • Assuring that there is an opener/closer for each event.
  • Assuring that each opener/closer has the appropriate training.
    Make sure each opener/closer is given access information on the day of their event.
  • General oversight on the volunteer calendar to make sure that we are covered and putting our best foot forward.
  • Eventually holding training on opening/closing our space as needed.

The Staffing Coordinator will participate in team meetings and team retreats and is happy to be a vital part of the Internal Support Committee.  The Staffing Coordinator is willing to develop an understanding of the APEX policies around programs and volunteers, and is willing to learn to use email, social media, and several internal platforms.  The Staffing Coordinator will also be willing to learn the features and functions of the club, so that they may best execute the Staffing Coordinator position.

In addition to your training manual, you will have as much on the job training as you need. We promise every volunteer that you will not be left on your own until YOU are comfortable, and this is just as true for the Staffing Coordinator. To start, you will work side-by-side with the existing Staffing Coordinator. Once you feel comfortable, you can take over responsibility of that position with support from your Internal Operations Team, and the Executive Committee.

The Staffing Coordinator should be:

  • A successful APEX Member
  • Comfortable using email
  • OK with various members of the club having your mobile phone # as this will be required
  • Available to be at APEX to train as necessary, and for meetings as necessary
  • Willing to interact with members
  • Willing to learn all the pieces to successfully staff and execute APEX Programs

Monday Night Coordinator  (click to see details) 

The Monday Night Coordinator is responsible for Monday Night Programming: Classes, demonstrations, discussions and education to serve our Membership and our Community. The Monday Night coordinator has ultimate responsibility for the quality and success of the Monday Night Program. The Monday Night Coordinator’s duties are as follows:

  • Book Monday Night Presenters for each Monday.
  • Read each week’s evaluations to maximize the Membership Experience (ignoring the comments about the chairs!).
  • Vet presenters for quality.
  • No Presenter will present at APEX more than four (4) times per year.
  • If the score of the presenter is below average or there were a large number of complaints, that presenter must be coached prior to them presenting at APEX again.
  • Work closely with the Monday Night Logistics Coordinator to make sure Presenters have the best possible experience at APEX.
  • The goal of the Monday Night Coordinator is to be booked at least three (3) months in the future.
  • The Monday Night Coordinator is responsible for reaching out to the Education Chair/Executive Committee when there are problems or challenges.
  • Send descriptions/bios to the Calendar Coordinator for publishing and proof this information upon completion.
  • Send the Presenter Logistics information to the Monday Night Logistics person.
  • Once a quarter (on average) we like to do a class for the entire community that has value as a service. Examples: Gender Education, STI Education, Any kind of tolerance education. These are always education and never demo. No sex, nudity, or play may take place if non members are in the house. There is some specific language that goes with something open to the community.

It is important that the Monday Night Coordinator be in touch with Membership. Trends and current interests are important, so we can be on our game.

Social Opportunities Chair  (click to see details) 

Whose functions include: Parties, non-play social activities

The APEX Social Opportunities Chair is responsible for the management, logistics and support of all social based activities of APEX.  The Social chair is tasked with appointing coordinators as needed, and supporting their team members as needed.  The chair is also tasked with ensuring that all areas of social opportunities are operating smoothly, and to make adjustments to procedures, activities, or events as needed.  Finally the social opportunities chair is responsible for the development and implementation of new social opportunities and ideas for the benefit of the club and its members.

As APEX continues to grow and evolve to meet the challenges of social media, internet availability and outside groups, it becomes important for APEX to establish a sense of connection and belonging for its membership.  This can be accomplished with the development of social programs within the larger organization, essentially establishing a comfort level within the larger “Community Center” structure. These offerings help new and old members establish a sense of intimacy and provide a sanctuary within the larger club, so that we retain those members after their desired level of ‘education’ has been completed.

This Chair works with their Coordinators and marketing individuals to direct inquiries to the appropriate groups for new and old members expressing a desire to participate, and will actively provide support to membership efforts with marketing of social opportunities to new members. Each month the Chair will provide a written report of activities at the Executive Committee Meeting as well as plans for development, and should be able to provide a report of activities within the Social functions regarding attendance and growth needs.

Skillsets for the Chair for Social Opportunities include excellent communication skills, diplomacy, team-building, and creativity.  This person should be relatively active on Fetlife to monitor the various emerging interests within the community and should be able to work with a wide variety of populations, so should be open-minded and comfortable with diversity.  A proven ability to follow-through in communication, and an awareness of marketing techniques is helpful in this position.  A friendly smile and warm personality will also go a long way when making members feel welcome and inviting them to find their own interests as they continue their journey of self-discovery.

Each month the Chair will check in and ensure plans and activities are being completed, will assist with facilitating any needs and meeting challenges that each of these individuals may be encountering and will provide a chain of command for the Executive Committee to communicate plans and direction with regard to a larger vision for APEX.

Specific time commitments are as follows: Attend the monthly Executive Committee Meeting (some absences are acceptable) and be active enough in the club to know if our Social functions are serving the needs of the Membership. When a coordinator is not present, the Social Opportunities Chair will step into this role ensuring that the club and membership needs are met. The Social Opportunities Chair will also make it a priority to find successors to each position and for themselves.

Education Chair  (click to see details) 

The APEX education chair is responsible for the management, logistics and support of all educational based activities of APEX.  The education chair is tasked with appointing coordinators as needed (Monday nights, Saturday workshops, etc), and supporting their team members as needed.  The chair is also tasked with ensuring that all areas of education are operating smoothly, and to make adjustments to procedures, activities, or events as needed.  Finally the education chair is responsible for the development and implementation of new educational opportunities and ideas for the benefit of the club and its members.

As an organization continues to grow and evolve to meet the challenges of social media, internet availability and member associated gatherings such as munches, it becomes important for an organization to establish a sense of connection and belonging for its membership.  This can be accomplished with the development of programs within the larger organization, essentially establishing small, intimate groups where ideas can be shared, discussed and learned from each participant.  These groups help new and old members establish a sense of intimacy and provide a sanctuary within the larger club, so that in party and event settings there remains a sense of belonging and a comfort in growing and expanding.

APEX will also have spaces open on the Executive Committee this year.  The time commitment varies, but you need to be prepared to be at the club at least one day a week, and there’s lots of business in the mean time.
